Ottawa Therapy Connect (“Ottawa Therapy Connect”, “Canadian Mental Health Link Inc.”, “we” or “us” ) provides software services designed to connect individuals who are seeking mental health supports with mental health professionals. This privacy policy ( “Policy”) sets out how Ottawa Therapy Connect collects, uses, discloses, retains, and disposes personal data or personally identifiable information when users ( “you”, “your”, “User”) use Ottawa Therapy Connect Website [www.ottawatherapyconnect.com] and/or Application. This Policy forms part of the Terms and Conditions that govern the provision of Services to User and the relationship between Ottawa Therapy Connect and User. We collect the following types of Personal Data:
When Users login to use the Ottawa Therapy Connect Website and/or Application, we also collect information about your Device, including your IP address, the type of operating system, and your login credentials.
When Users access our Website and/or Application, we collect information about your general use of the Application. Other information we collect include normal Application traffic, device ID, device usage, and geolocation (if it has been enabled by you).
We may also collect your Personal Data if you have made your Personal Data publicly available on the Internet or through any list or database we are authorized to use or see.
Personal Data that we collect may be in the form of images (png, jpg), text, and other forms of data added to our secure servers and databases.
When you Register for a User Account to use our Services, we require certain Personal Data to process your Account application. We also collect Personal Data every time User logs in to their Accounts, access and use our Application. Lastly, we collect your Personal Data that is publicly available on the Internet which we have received either through third-party websites or marketing companies.

All information uploaded to the Ottawa Therapy Connect Website and/or Application or sent to Ottawa Therapy Connect in connection with the Services is held on a Go Daddy server located in the United States. Any third-party tracking codes are hosted on the third-party servers. We do not keep any hard copies of Personal Data, and in the event that we have or have received hard copy documents containing Personal Data, we will destroy hard copies as soon as is feasible, subject to our legal obligations.
User is responsible for all activities that occur in User Account and for Users’ compliance with these Terms and Conditions. User shall: (i) have sole responsibility for the accuracy, quality, integrity, legality, reliability, and appropriateness of all User Data; (ii) use the Service in compliance with the Use Guidelines described in Section 5.3; (iii) use reasonable efforts to prevent unauthorized access to, or use of, the Service, and notify Ottawa Therapy Connect promptly of any such unauthorized access or use, including any such improper or unauthorized use by Users; and (iv) comply with all Applicable Laws in using the Service.
Ottawa Therapy Connect does not delete Personal Data from User Accounts that continue to be active or have not been deleted by the User. If you choose to delete your User Account, Ottawa Therapy Connect will delete your Personal Data from our records unless we are required by law to retain the information.
Otherwise, once we no longer need the information for the purpose for which it was collected, we securely dispose of or de-identify any Personal Data, subject to our legal requirements and any written requests from you.
Ottawa Therapy Connect likes to send you information about our new products and services. Unless we already have a business relationship with you or you have offered your Personal Data to us separately, we will always ask you for your consent before sending you any commercial electronic messages.

Ottawa Therapy Connect’s Services are premised on the ability to provide Users with a high level of security, including implementing technical, physical and administrative measures, to protect your Personal Data.
We rely on our other third-party service providers including GoDaddy and Eggs Media which provide physical, technical, and administrative security measures. Please see our list of Third-Party Service Providers above for a link to their privacy policies and security practices. We also implement SHA-256 encryption on database passwords. Only our authorized personnel are provided access to any Personal Data.
We test our systems regularly and investigate any potential breaches. In addition to Ottawa Therapy Connect’s tasks set out in the Information Security Management Policy, where Ottawa Therapy Connect becomes aware of a security breach in our systems, we will send a notice to any affected individuals where we feel there is a reasonable risk of significant harm resulting from the breach within 72 hours of discovering the breach. Users must be persons of the age of consent in their province. Ottawa Therapy Connect does not intentionally collect Personal Data of minors.
